VoIP business phone systems have brought significant value to small businesses. There are many advantages to using the service and some may go overlooked. Below is a complete list of the VoIP features that can help your small business.
All accounts include online account management. Log in to easily update forwarding, messages, greetings or other details. Each of our carriers provide a streamlined view of your settings in one place so you can manage them with ease.
Place outbound calls from ANY of your office phone numbers so you aren’t broadcasting your personal cell phone number when you are out and about. Select the number you want to use as your outbound caller ID and dial. The apps use your mobile phone to place the call.
Greet callers with a custom menu that allows them to press a key on their keypad to be transferred or forwarded to the party they designate. Allows up to 10 primary options and additional sub-options from each of those. “Press 1 for Sales, 2 for Support, 3 for Directions,” etc. Upload your own custom audio messages.
Getting spam or telemarketing calls all the time? Block them from ever reaching you. Add callers to your block list and never hear from them again!
Setup a phone number to forward incoming calls out to the US phone number of your choice. Simple number forwarding without all the confusing menus, queues and complicated management. Send calls to your cell phone, home phone, or any other extension on demand. Set up automatic call forwarding for anytime the Internet isn’t working so you never miss a call!
Review your incoming/outgoing phone calls in a searchable format. Sort by day and or phone number. Download logs in a .csv file and import into your favorite spreadsheet application. Some carriers allow searching by additional options as well.
Voice messages are sent to you via email or text freeing up your time. Manage notifications at your earliest convenience and return only the most important calls. Your number can be answered with a customized voicemail greeting. Callers can leave a message that forwards the incoming message to an email address or text number of your choosing. These attached files can be heard directly within email, viewed as text on your cell phone, or downloaded for later reference.
Record some or all the calls to and from your account. Administrators can enable system-wide recording or set up recording on specific phone numbers or extensions. Recordings are stored in the cloud, so they can be accessed from virtually anywhere.
We work with a variety of VoIP providers as well as offer our own branded VoIP service. With these options we can offer integrations with a number of CRM tools. Among those we can integrate with are Google, Microsoft, Netsuite, Outlook, Redtail, SugarCRM, Salesforce, Zendesk, Zoho CRM and more.
When you work in multiple markets or localities and have different phone numbers for each you can select which number to use for each call you place. This can help maintain your “local” presence. It can also be helpful when you are identifying potential new markets so you can get a feel for them before going to the expense of opening an office there.
Easily set up a conference call with up to ten attendees. Attendees can be scheduled to join the call or can join without reservations. Conference calls can also be recorded.
Upload your own custom audio files or record custom messages over the phone to use as your Hold Music. This music or messaging is then heard by callers who are waiting to speak to you and is a great advertising opportunity.
DID’s allow users to receive calls straight to their phones rather than going through an auto-attendant system or receptionist. Users can receive calls from any PSTN, VoIP or cellular caller with a standard format number (7 or 10 digits).
Emergency 911 service is not available with all carriers. We only work with carriers who are able to provide our customers with the ability to call 911 in an emergency. Because VoIP phones can be easily relocated, it is imperative your carrier be notified whenever a location change occurs so that the correct location can be associated with the extension and emergency services are able to locate a caller needing assistance when a call is made for help.
This feature allows users to route their incoming calls to multiple phones in a specified sequence, allowing each user to create a unique call flow and failover for their extension. Such flows can include landlines, cell phones, home phones or even other extensions.
HD voice is a technology that delivers more enhanced sound as compared to a typical voice phone call delivered on a landline through the world’s analog circuit-switched phone network. To be classified as HD voice the sound quality of a call is defined as delivering at least twice the sound range of a traditional call.
In about 99% of cases you can keep your existing phone number and transfer it to your new VoIP phone service. Some rural wireline phone service providers have obtained waivers from the porting requirements imposed by the FCC from their local authorities. Some carriers don’t have interconnection agreements with all other carriers which can also cause an issue. Most of the time there is no problem and we can verify the “portability” of your phone numbers prior to beginning the process.
Stop wasting money each month on plain old landlines with your current carrier. You don’t need a landline to call 9-1-1, and you don’t need a landline for overpriced long-distance calls. Save money and replace your landline with VoIP. Take control of your communications. Avoid unwanted calls and save money to pay for the things your business needs, or better yet, increase your profits.
Local Numbers increase your local presence for small businesses. They can provide a local feel that toll- free numbers can’t. They can give you a presence in additional markets or help you test potential new markets as well so you can try before you make a move or expand.
Presence is the means by which employees may keep track of what one another are doing/get in touch with one another successfully and quickly. In other words, if you need to get in touch with a co-worker, should you use the phone or email? If you decide to use the phone, should you call the person’s office number, home number or cell number? Presence seeks to sort out these questions and make the answer clear. It relies on employees to constantly update their status and information the moment a change occurs.
Remote workers have become a huge part of our workforce. When the whole team has access to the same communication and collaboration tools the team simply functions better. Remote phones can work pretty much anyplace with a decent Internet connection. Users can alternatively use an app on their cell phone or computer.
A ring group is a way for a business to share the responsibility for answering calls among a group of employees. It can be used to evenly distribute calls within a specific department or area, maybe a Service Department or Sales Team. Calls can ring all at once or in a specified order.
Allows a current call to be listened in on without interrupting or intervening. Neither the agent or the caller are notified of the listeners presence. Whisper mode can be used to allow the person monitoring to speak to the agent while remaining undetected by the caller. Barging allows the monitoring party to intervene in the call and be heard by all parties.
Do you already have a small-business phone system that you are happy with and is relatively new? SIP trunking may be your solution. It can allow you to save money with VoIP while keeping the existing phone equipment you are used to and like.
Send and receive text messages with your business phone number. This feature is included with some plans and available in most areas. Note: Not available with toll-free numbers.
Meet with two different parties simultaneously by simply hitting the conference button while on a call and dialing the number of the third party you wish to invite. Warm or blind transfers are also available while conferencing.
Toll-Free Numbers are a universal business tool. Toll-Free numbers give your existing and potential customers the impression you are a legitimate business by providing a professional image. Give your customers a number that doesn’t ever cost them to call. We offer 800, 888, 877, 866, 855, 844 and 833 toll-free numbers.
Forward your incoming calls to any US mobile phone or landline number and never worry about overages or extra fees with unlimited calling minutes on most plans. You can choose to transfer (port) an existing phone number to our service or activate new toll-free or local phone numbers.
Allow your customers an easy way to remember how to reach you. Let us find a phone number whose corresponding keypad letters spell a word or name (like 1-844-503-VOIP). Or a phone number that is easy to recall and has numbers repeated or in a pattern (like 503-555-1212). We will do our best to find you the perfect phone number and give you as many options as we can for you to select from. Just let us know what you have in mind.
Requires phone sets with video cameras at each end. Allows caller and receiving party to be not only heard but seen during a call.
Voicemail to email plays your custom voicemail greeting then allows callers to leave a voice message. Our system then forwards the message to your designated email which you can listen to later and respond at your convenience. This feature ensures that you will never be out of reach and you can consolidate your communications through email.
We’re interested in your ideas on how we can improve and what we might be missing. Let us know what you are looking for by contacting us now. We work with several carriers and may have it, but if we don’t we will look for a solution for you.
